How Hajiri collects, uses, shares, protects and deletes information across our website, Android and iOS apps, and workplace services.
We use information to provide, secure and improve Hajiri.
Your employer or organisation controls many workspace records.
You can request access, correction or deletion where applicable.
This Privacy Policy applies when you visit Hajiri websites, create or use a Hajiri account, use our Android or iOS applications, contact support, or interact with a workspace managed by an organisation.
For most employee and workforce records, the organisation that provides your Hajiri workspace decides why and how the information is used. That organisation acts as the data controller or responsible organisation, and Hajiri processes the information to provide the service. For account administration, website analytics, security, support and direct business enquiries, Hajiri may determine the relevant processing purposes.
Account and profile information may include your name, work email, phone number, employee identifier, role, department, reporting manager, workplace and profile image.
Workplace records may include attendance events, work schedules, leave requests, timesheets, tasks, projects, messages, approvals, payroll-preparation inputs, performance records and documents submitted by you or your organisation.
Device and usage information may include device type, operating system, app version, language, IP address, diagnostic events, security logs and interactions with product features. We collect only information reasonably needed to operate, secure and improve the service.
Hajiri requests a device permission only when a feature needs it. Depending on your organisation’s configuration, the app may request camera access for face or QR attendance, location access to support authorised location-aware attendance, photo or file access when you choose to upload an image or document, and notification permission for reminders and workplace updates.
Permission availability does not mean every workspace uses that feature. Your organisation should explain its attendance method and workplace purpose. You can control device permissions through Android or iOS settings, although disabling a required permission may prevent that feature from working.
Where facial templates or other biometric-related information are used in a production attendance workflow, Hajiri and the responsible organisation should provide additional notice and obtain any consent or authorisation required by applicable law. The public website’s live attendance demonstration keeps preview and captured demo images on the device and does not upload them.
We use information to authenticate users; provide attendance, HR, time, project, communication and support features; maintain records selected by the organisation; process requests and approvals; prevent fraud or misuse; troubleshoot problems; comply with lawful obligations; and improve reliability and usability.
We do not sell personal information. We do not use employee workplace records for unrelated advertising.
Information may be visible to authorised workspace administrators, managers, HR or finance personnel according to permissions configured by the organisation. We may use vetted hosting, infrastructure, communications, analytics, support and security providers that process information for us under appropriate obligations.
We may disclose information when required by law, to protect users or the service, in connection with a corporate transaction subject to appropriate safeguards, or when you or the responsible organisation directs us to do so. Data may be processed in countries other than the country where you work; when this occurs, we use appropriate contractual, technical and organisational safeguards.
We retain information for as long as needed to provide the service, meet the organisation’s documented requirements, resolve disputes, maintain security and satisfy legal obligations. Retention periods differ by data type and workspace policy.
Deleting an app from a device does not delete the account or workplace records. Use the Account Deletion page or contact your workspace administrator. Some records may be retained when the organisation or applicable law requires them, but they will remain protected and limited to permitted purposes.
We use administrative, technical and organisational measures designed to protect information, including access controls, secure transmission, logging, backups and restricted administrative access. No service can guarantee absolute security. Users must protect credentials, use approved devices and report suspected misuse promptly.
Depending on your relationship with Hajiri and applicable law, you may request access, correction, export, restriction, objection or deletion. For workplace records, start with your organisation because it controls the workspace. You may also contact Hajiri using the details below.
You can manage mobile permissions in device settings, communication preferences in the app where available, and cookies through browser controls.
Hajiri is a workplace service and is not directed to children. Individuals must meet the minimum age required to enter a binding agreement or use the service under valid organisational and guardian authority. Organisations must not add children’s information unless the use is lawful, necessary and specifically agreed with Hajiri.
